2. Meeting : Annual Membership Convention - 1/24/2009 - 1/24/2009 - Four Points by Sheraton Orlando Studio City
 
3. Goal Statement and Strategies:
Our goal is to improve the computer systems at PFHA and the PFHA web site to make it more "user friendly", reduce the workload for the office staff, and provide better service for the membership.
We are doing this by asking for input from the members, committees, and office staff. Evaluating this input for implementation, obtaining cost from the provider (MCS), and then requesting the budget.  
 
4. Revision of Goals:  
None at this time.  
 
5. Accomplishments:  
During 2008 we:
Negotiated extensive changes in the PFHA web site. These changes will be
implemented in 2009 as budget permits in the following order:
1. Membership Reports for the regions and PFHA Membership Committee
2. Web site pages for the committees. This will start the implementation
of content management. Content management will allow PFHA to changes
pages on the website without having to go through the hosting company MCS.
3. On line implementation of:
a. Stallion Book,
b. Point search/history,
c. Membership info search, and
d. Horse for sale.
4. On-line web site problem reporting and tracking.

In the PFHA office we:
1. Implemented “bundling” of problems to reduce cost.
2. Web site change cost tracking for the individual committees. This will
be used to improve future budgeting.

 
6. Critique of ActivitIes:  
I think we have started the implementation of much need improvements that will better support our membership and reduce the work level of the office staff.  
 
7. Recommendation For Goals For Following Year:  
Items we are looking at for 2009:
1. Credit card system as a module. The credit card software that the office
now uses has integrated into it a link to connect it to web sites. MCS
is currently evaluating the implementation of this on our web site. We
plan to integrate it as a stand-alone module to be used by all on-line
program that require a payment.
2. On-line Registration upgrade. (see attachment)
3. Show registration updates and upgrades to ease use for entrant as well as
the show secretary.
4. Region and farm web site hosting by PFHA using content management.
Depending on membership participation, this is a possible source of
income for PFHA.

 
8. Policy Changes:  
None at this time.  
 
9. What would have helped you do a better job?:  
Better communication between the office, this committee, and MCS concerning on going problems.
